1. Agreement Overview
By placing an order with Hines Rental, the Client (“you” or “Customer”) agrees to the following Terms and Conditions. These govern the rental of all party and event equipment available through Hines Rental.
2. Rental Period
- The standard rental period is 8 hours or one calendar day unless otherwise agreed.
- Extended rentals are available by arrangement and may incur additional fees.
- Equipment must be ready for pick-up at the agreed-upon time and location. Additional charges apply for late returns.
3. Reservations and Payment
- A deposit of 50% is required to reserve your rental items over $150 total cost and all specialty item rentals. $25 or the total cost is required to reserve rental items under $150
- Full payment is due no later than 2 days before the event date unless otherwise agreed upon or arranged.
- Accepted payment methods: credit/debit, cash, Apple Pay, Google Pay, Cashapp, Venmo.
- Orders are not confirmed until deposit or full payment is received, and an invoice is issued.
4. Cancellation Policy
- Cancellations made more than 2 days before the event to receive full refund minus deposit.
- No refunds for cancellations within 48 hours of the scheduled delivery.
- Weather-related cancellations must be communicated in writing. Refunds or rescheduling due to weather are at our discretion.
5. Delivery and Setup
- Delivery and pickup fees are calculated based on distance and item volume.
- The customer must ensure that delivery and setup areas are clear, level, and accessible.
- We offer setup and breakdown services for tables, chairs, and tents. (Tents must be set up by Hines Rental personnel.)
6. Customer Responsibilities
- Inspect all items upon delivery and report any issues immediately.
- The customer is responsible for all equipment from time of delivery to time of pickup.
- Equipment must be returned in the same condition—clean and undamaged.
- Table coverings must be returned free of stains, wax, tears, or burns.
- A cleaning fee may apply if items are returned dirty.
7. Damage, Loss, or Theft
- The customer is financially responsible for any lost, stolen, or damaged equipment.
- Damage includes breakage, dents, mold, burns, or permanent staining.
- Replacement or repair costs will be invoiced after inspection.
- Do not leave equipment unattended in public areas or unsecured locations.
8. Tents and Weather Conditions
- Tents must be installed on a flat surface and must not be moved or altered by the Customer.
- High winds or storms may make tents unsafe. Hines Rental reserves the right to refuse or delay tent installation in dangerous weather conditions.
- The customer assumes all risk for weather-related damage to rented tents or equipment unless additional coverage has been arranged.
9. Liability Waiver
Hines Rental is not liable for any personal injuries, property damage, or accidents related to the use of our rental items. Tables, chairs, tents, or other equipment must be used for the intended purpose as expressed in the rental agreement.
By placing a rental order with Hines Rental, the Client acknowledges and agrees to these Terms and Conditions.
